Financial Administrative Assistant

The company
Aqua-Spark is a global investment fund based in Utrecht that makes investments in sustainable aquaculture businesses, generating financial returns while creating a positive social and environmental impact. The fund is building an ecosystem of small- to medium-sized enterprises across the global aquaculture value chain to make aquaculture more sustainable, healthier and more accessible for all. The company is located in the beautiful city center of Utrecht, the culture is about team work and there is a great team of enthusiastic, highly motivated professionals.

To ensure success as a Financial Administrative Assistant, you should have business acumen and the ability to complete various complex financial tasks accurately and efficiently. Ultimately, as a top-notch Financial Administrative Assistant should be a highly organized and process-driven individual with the ability to handle confidential information. The finance team consists of 2 persons: You report directly to the Financial Director.
 

Responsibilities
In this role you perform a variety of administrative and financial tasks. The duties include coordinating daily financial tasks, processing invoices and maintaining a digital record of financial documents. You also assist the Finance Director to create and optimize budgets and on tasks related to the following: 

  • Processing invoices received (from suppliers, vendors, consultants etc.), (employee) reimbursement sheets (expenses claims), creating bank account payments, and processing AMEX credit card expenditures; 
  • Preparing invoices to be sent (internal as well as external, to portfolio companies); 
  • Filing invoices and other documents; 
  • Maintaining a digital record of all financial transactions, documents and supplier information;
  • Coordinating daily financial tasks with the Finance Director to optimize workflow; 

 

This role offers potential room for growth and can expand for the candidate with the right qualifications and ambition; 

  • Assisting the Finance Director with budget planning, expenses analysis, financial statements, semi-annual fund valuation reports; 
  • Communication with external parties like external fund administrator and portfolio companies; 

 

Required personal skills 

  • You are a talented professional with at least 2 years of working experience in financial and/or administrative roles or you have a financial background; 
  • A relevant education (MBO/HBO/WO) in Economics, Finance or Accounting; 
  • Working knowledge of accounting software, such as Reeleezee, Exact Online and you are proficient in Apple, Microsoft Office with familiarity with databases; 
  • Meticulous attention to detail and ability to perform tasks efficiently; 
  • Excellent analytical skills and financial prowess; 
  • Strong team player with solid communication skills, focused on improving; 
  • High levels of integrity and ability to handle confidential information;
  • Excellent social and communication skills in English and preferably also Dutch, both written and verbal  
  • Familiarity with Dutch tax reporting/filing is a plus.
